Privacy Policy — Rapid Write

Summary

Rapid Write enables users to capture photos that include a visible Google Maps location (latitude/longitude or place name) and a timestamp overlay, and to record audio notes whose speech is transcribed and shown in the app. The app collects only the data needed to provide these features. You have control over microphone, camera, and location permissions and over whether recordings/transcripts are uploaded to our servers.

1. What information we collect

When you use Rapid Write's photo, recording, or transcription features, we may collect the following information:

• Photos: images captured by your device camera. Photos may include the visible overlayed timestamp and location when the app creates them.
• Geolocation data: GPS coordinates (latitude/longitude), place names, or Google Maps-derived location data used to generate the overlay on the photo or to add location context to a recording.
• Timestamps: date and time when the photo or audio recording was captured (used for overlays, transcript timestamps, and metadata).
• Audio recordings: if you use the in-app recorder we may record audio you create. Recordings are only captured when you explicitly press Record and grant microphone permission.
• Transcripts: text produced by automated speech-to-text (ASR) processing of your recordings. Transcripts may include what you said verbatim (and therefore could contain personal information).
• Device identifiers & diagnostics: non-personal device data (app version, OS version, crash logs, optional analytics) to diagnose problems and improve the app if you enable analytics.
• Optional user-provided data: captions, notes, tags, or labels you type and attach to photos or recordings within the app.

Note: We collect location and microphone access only when you explicitly grant those permissions. You can revoke them at any time in your device settings. If you revoke location permission, the app will not be able to create automatic location overlays.

2. How we use collected data

We use the data we collect for the purposes described below:

• Feature operation: to generate on-image overlays (Google Maps location + timestamp), to record audio, and to generate and display transcripts per your request.
• Storage & backup: to save photos, recordings, and transcripts on your device and — with your explicit consent — to upload them to our servers or a cloud backup service.
• Search & playback: to let you search transcripts, playback recordings, and view associated photos and metadata within the app.
• Support & troubleshooting: to diagnose problems you report and to analyze crash reports (only if you enable diagnostics/analytics).
• Improvements: to improve speech recognition quality, mapping overlays, and product features (improvements from anonymized or aggregated data when analytics is enabled).
• Legal compliance: to comply with legal obligations or to protect rights (limited cases).

Important: Transcripts are generated using automated speech recognition. They may be imperfect and may capture sensitive information if you say it aloud — avoid recording sensitive personal data when possible.

3. With whom we share data

We do not sell personal data. We share information only in the following situations:

• With your consent: if you choose to upload or share a photo, recording, or transcript (for example: cloud backup, email, social sharing, or exporting a transcript), we will transmit the selected file(s) to the chosen destination.
• Service providers: third-party providers that perform functions for the app such as cloud storage, speech-to-text processing, analytics, crash reporting, or email delivery. They are contractually required to protect your data and only process it for the purposes we specify.
• Legal requests: if required by law or to respond to lawful requests by public authorities (we will notify you unless prohibited).

If you share a recording or transcript via another app or service, that service's privacy policy will apply to the shared content.

4. Storage, retention & local device storage

Local device: Photos, recordings, and transcripts created with Rapid Write are saved to your device (gallery, app storage, or both) unless you choose otherwise. Overlays (location and timestamp) are embedded visually in images and may also be stored as metadata (Exif) depending on your settings.

Server storage (optional): If you enable cloud/backup or explicitly upload items, we will store them on our servers or on partner cloud storage. We retain uploaded photos, recordings, and transcripts for as long as you keep your account or until you request deletion, subject to legal obligations.

Automatic transcript retention: Transcripts generated on-device are kept locally until you delete them. If transcripts are generated using a cloud provider (ASR in the cloud), those transcripts (and the audio used to generate them) may be retained by that provider per their policies — see Third parties below.

5. Permissions required

To provide the photo + location overlay and audio recording/transcription features, the app requires:

• Camera permission — to capture photos.
• Location permission — to capture GPS coordinates used for the map overlay. You may grant location access only while the app is in use.
• Microphone permission — to record audio notes. Recording only happens when you explicitly start a recording.
• Storage permission (if applicable) — to save images, recordings, and transcripts to device storage or to read files you choose to import.

You can revoke any permission in your device settings at any time; revoking microphone permission will prevent recording, and revoking location will prevent automatic location overlays.

6. Third-party services (Google Maps & speech-to-text)

Rapid Write uses third-party services to deliver mapping and (optionally) transcription functionality:

• Google Maps / Google Maps Platform — used to display maps and resolve human-friendly addresses. Google may collect data as described in their policies. By using mapping features you agree to Google’s terms and privacy policy.
• Speech-to-text providers — when you choose cloud-based transcription, we may transmit audio to a third-party ASR provider (for example: cloud speech-to-text services) to generate transcripts. Those providers may collect and retain audio and transcript data according to their policies.

If you do not want third-party services to process your data, you can:

1. Disable the map overlay option in the app settings (if available) or refrain from granting location permission.
2. Use on-device transcription (if the app offers it) or keep transcription disabled so audio never leaves your device.

7. Security

We implement reasonable security measures to protect data transmitted to our servers, including:

• Encryption in transit (HTTPS/TLS) for data uploads and API calls.
• Access controls and authentication for user accounts and administrative tools.
• Secure storage practices for backups and uploaded files.

However, no method of transmission or storage is 100% secure. Avoid recording or uploading highly sensitive personal data unless absolutely necessary.

8. Your rights & choices

You have the following rights regarding your personal data:

• Access: Request a copy of personal data we hold about you (uploaded images, recordings, transcripts, and account info).
• Correction: Ask us to correct inaccurate data or metadata.
• Deletion: Request deletion of your uploaded data or account. Note: local device copies will remain unless you delete them on your device.
• Consent withdrawal: You can withdraw consent for uploads, cloud transcription, or analytics; this will not affect processing already carried out prior to withdrawal.
• Opt-out: Turn off location, microphone, or camera permission in device settings to stop those features.

9. Children

Our app is not directed to children under 16 (or the age required by local law). We do not knowingly collect personal data from children under that age. If you believe we have collected such data, contact us to request deletion.

10. Changes to this policy

We may update this policy from time to time. When we make material changes we will post the updated policy in the app and update the Effective date above. Significant changes may also be communicated via the app.
